Question 1

What is CaterFlow AI?

Accepted Answer

CaterFlow AI is an AI automation co-pilot built specifically for small catering businesses. It handles repetitive back-office tasks like invoice follow-up, post-event reports, food safety records, staff onboarding, inventory reminders, supply ordering, customer service, and Google review follow-up.

Question 2

How long does setup take?

Accepted Answer

Most caterers are up and running within a few days. We review your current workflow, identify the biggest time-wasters, then configure the automations that fit your business.

Question 3

Do I need technical skills to use it?

Accepted Answer

No. CaterFlow AI is designed for busy catering owners who don't have time to learn software. We handle the setup and training; you just use the outputs.

Question 4

Which software does CaterFlow AI connect to?

Accepted Answer

We integrate with common tools catering businesses already use — accounting platforms, email, calendars, spreadsheets, and popular supplier ordering systems. Send us an enquiry if you use a specific tool.

Question 5

Is my data secure?

Accepted Answer

Yes. CaterFlow AI uses enterprise-grade encryption, secure cloud infrastructure, and strict access controls. We never share your business or customer data with third parties.

Question 6

How much does CaterFlow AI cost?

Accepted Answer

CaterFlow AI starts at AUD $2,000 per month (GST included) for Quotebot. The Full Package with all eleven automations is AUD $5,000 per month (GST included). There is no setup fee and plans are month to month. See full pricing at https://caterflowai.live/pricing.

Question 7

Can I try it before subscribing?

Accepted Answer

Yes. Try the interactive quote demo to see Quotebot produce a catering quote before you subscribe.

Question 8

Do you offer support?

Accepted Answer

Yes. Every Full Package customer gets ongoing support. We help you refine automations, add new ones, and answer questions as your business grows.

Question 9

Will this replace my staff?

Accepted Answer

No. CaterFlow AI removes the boring, repetitive admin work so your team can focus on high-value work: cooking, serving, and building client relationships.

Question 10

How does invoice automation help catering businesses?

Accepted Answer

CaterFlow AI automatically generates invoices after each event, sends payment reminders before and after due dates, and chases overdue accounts — so you spend less time on awkward follow-up calls and more time on paid catering work.

Question 11

Will automated invoice reminders annoy my clients?

Accepted Answer

No. The reminders are written in a polite, professional tone that matches your brand voice. They feel like a natural nudge from your team, not robotic spam, and they stop once payment is received.

Question 12

Can it handle deposits and final balances for catering jobs?

Accepted Answer

Yes. CaterFlow AI can schedule a 50% deposit invoice at booking, then automatically send the final balance invoice after the event — with reminder sequences tailored to each stage.

Question 13

Does it work with Xero, QuickBooks, or MYOB?

Accepted Answer

Yes. We connect to your existing accounting software so invoices, payment status, and customer records stay in sync. You keep your current bookkeeping workflow; we just automate the repetitive parts.

Question 14

How much time does invoice automation actually save?

Accepted Answer

Most catering owners spend 5-10 hours a month creating invoices, sending reminders, and chasing late payments. CaterFlow AI cuts that down to near zero by generating invoices from event data and running the follow-up sequence automatically.

Question 15

Will this help me get paid faster?

Accepted Answer

Yes. Timely, professional reminders and built-in payment links reduce the average collection time. Many caterers see overdue invoices paid within days instead of weeks because the follow-up happens consistently without them having to remember.

Question 16

Can it help with WHS incident reports?

Accepted Answer

Yes. CaterFlow AI's WHS Incident Report Generator guides you through the details after a workplace incident, produces a structured report, and stores it securely so you have everything ready for compliance, insurance, or follow-up.

Question 17

Does CaterFlow AI handle food safety records?

Accepted Answer

Yes. The Food Safety Report Generator creates daily/weekly temperature logs, cleaning records, and supplier receipt notes based on your inputs. It keeps your records organised and ready for council or health inspector audits.

Question 18

What is Quotebot?

Accepted Answer

Quotebot is CaterFlow AI's automatic quote generator. It builds professional catering quotes from event details, guest counts, menu selections, and pricing rules — turning client enquiries into branded proposals in minutes instead of hours.
